About the Role

We’re looking for a driven and detail-oriented Talent Acquisition Operations Coordinator to join our growing team. In this role, you’ll be the backbone of our recruiting infrastructure—managing key systems, building process efficiencies, coordinating analytics, and delivering an exceptional experience for both candidates and internal stakeholders. What You’ll Do

System & Process Management

  • Maintain and optimize key TA platforms and systems (including Greenhouse and others), overseeing account permissions, templates, and hygiene (e.g. prospect/candidate cleanup, scorecards, interview kits).
  • Serve as the primary point of contact for system vendors and manage relationships with the ATS, job boards, and background check provider.
  • Tokenize outreach templates and ensure personalized, compliant, and scalable communications.
  • Audit offer approvals and requisition workflows to ensure consistency and compliance.

Recruiting Support & Team Enablement

  • Own key administrative processes including waiver and background check workflows, requisition submissions, and the recruiting inbox.
  • Onboard and train new TA and Field Ops team members on Greenhouse best practices and expectations.
  • Assist recruiters with sourcing projects as needed.

Data & Reporting

  • Build dashboards and reports using Greenhouse, CRM tools, and data analytics platforms (e.g., DOMO) to assess the performance of the TA team and recruiting channels.
  • Analyze recruitment funnel data and provide insights to drive strategy.

Event & Brand Support

  • Support recruitment events including conferences and CE logistics—handling SWAG procurement, travel coordination, certificate management, and vendor registration.
  • Collaborate with the marketing and people teams to improve the new hire and candidate experience.

Cross-functional Collaboration

  • Partner with the People team to refine the onboarding journey.
  • Coordinate with hiring managers, recruiters, and medical leaders to ensure alignment and transparency across the hiring process.

What You’ll Bring

  • 1–3 years of experience in recruiting coordination, recruiting ops, or HR admin (healthcare or multi-site experience a plus)
  • Strong comfort with applicant tracking systems (especially Greenhouse), data reporting tools, and productivity platforms
  • Excellent organizational skills and ability to manage multiple moving pieces at once
  • Clear, professional communication style and a service-oriented mindset
  • Passion for improving candidate experience and operational efficiency
  • Ability to recognize and appropriately handle highly sensitive and confidential information
  • Proficient with Google suite

Compensation & Benefits

  • $60,000-$80,000 Depending on Experience
