Requirements
2+ years of administrative assistant experience in a high-volume entertainment desk at a studio, network, production company or talent agency (Basic)
Strong computer proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and Adobe Acrobat
High level of integrity, discretion and professionalism in dealing with senior professionals
Ability to complete a high volume of tasks and projects quickly with little guidance and react with appropriate urgency to situations and events that require a quick response or turnaround
Strong written and verbal communication skills
Tech-savvy with the ability to quickly learn and adapt to new software, tools, and technologies
Ability to independently prioritize work and handle multiple tasks with set deadlines as a top priority and possess excellent organizational and tracking skills
Client-service oriented, with great attention to detail while still meeting tight deadlines, and the ability to easily switch gears
Ability to visually communicate data through charts and grids
Collaborative working style and strong people skills, partnering with key stakeholders at all levels of the organization
Maintain a positive, professional demeanor under pressure
Ability to anticipate the executive’s needs and effectively handle frequently changing priorities

3+ years of administrative assistant experience on a high-level desk (Preferred)
Knowledge and passion for entertainment and media (Preferred)
Four-year college degree or equivalent work experience (Preferred)
Responsibilities
Represent the office of the EVP by effectively communicating with teams both internally and externally
Curate meeting preparations materials – compile grids, and curate relevant information across multiple projects
Manages and directs phone calls and written correspondence and facilitates the execution of documents
Answers phones; manages calendars, meetings, and conference calls; books/confirms travel; and manages expense reports
Manage flow of information and files in/out of office
Coordinates with accounting to track payment milestones and ensure timely payments
