Responsibilities

  • Partner with site leadership, Facilities, and IT to deliver initiatives that improve employee engagement and collaboration
  • Organize town halls, divisional events, and office activities, including meetings, social gatherings, and special occasions
  • Generate creative ideas to keep engagement initiatives fresh and motivating
  • Assist with social engagement budget planning and provide cost-effective options to ensure events remain within guidelines
  • Engage with the building management company and wider stakeholder community for property organized events/visits
  • Act as a primary contact for internal and external visitors; manage travel arrangements, office access, and agenda planning
  • Oversee client meeting room bookings and support all aspects of meetings and events (catering, logistics, materials, AV/Zoom setup, room configuration, visitor hosting)
  • Serve as the first point of contact for general office queries (e.g., desk bookings, printing)
  • Maintain strong working knowledge of conference room technology to provide basic IT support and troubleshoot common issues in collaboration with AV and IT teams
  • Support processes for new hires, transfers, and leavers (staff access cards, T&E, corporate credit cards, mobile phones, essential guidance)
  • Work closely with internal departments to align stakeholder expectations, coordinate resources, and optimize workflows for timely delivery
  • Build and maintain strong relationships across the EOS team and wider organization
  • Provide virtual support to MI staff members in the EMEA region as needed
  • Some local/regional travel may be required
  • Coordinate complex calendars and schedules for proactive time management and prioritization
  • Arrange complex international travel within policy, including visas and detailed itineraries
  • Work collaboratively with internal stakeholders to establish clear expectations and ensure timely deliverables; provide regular status updates
  • Process expenses promptly and ensure all system approvals are completed
  • Maintain accurate and relevant workflow procedures
  • Manage specific project tasks as required
  • Work closely with other EAs, providing cover and other administrative duties as required
