Responsibilities

  • Prepare and maintain Excel-based dashboards and reports to monitor key performance indicators (KPIs); present findings to leadership to support strategic decision-making
  • Analyze facility and fleet operational costs to identify trends, variances, and opportunities for cost savings; provide actionable insights to improve budget efficiency and resource allocation
  • Source, evaluate, and manage vendors and contractors for facility and vehicle maintenance services
  • Review new account setups and vendor onboarding to ensure accuracy and all vendor expectations are met
  • Negotiate service agreements and monitor maintenance and repair budgets to ensure cost-effectiveness
  • Maintain building safety standards and ensure all facility operations adhere to OSHA and company safety protocols
  • Prepare and present reporting on operational statuses, issues, and improvement recommendations to management
  • Identify opportunities to reduce expenses and improve efficiency
  • Coordinate various projects and assignments with the team and other departments and maintain policy and procedure documentation
  • Manage up-to-date inventory of all vehicles, including registration, and assignment status
  • Track and manage facility-related assets and building systems for each location
  • Code and approve vendor invoices
  • Train internal and external customers on policies, procedures and workflows
  • Analyze accounts receivable, billing and process inquiries while providing superior customer experience for internal and external customers
  • Determine and implement process improvements to deliver operational efficiencies
  • Other duties and responsibilities as assigned
