Responsibilities

  • Assist the Office Manager in sophisticated calendar management for the CEO, prioritizing inquiries, making judgments and recommendations
  • Keep the CEO informed of upcoming commitments and responsibilities, following up appropriately
  • Prioritize conflicting needs, handle matters expeditiously and proactively, follow through on projects to completion under deadline pressures
  • Coordinate complex travel arrangements and prepare expenses for the CEO
  • Manage the CEO contacts
  • Support day-to-day activities of the Chief of Staff
  • Manage the Chief of Staff calendar and CEO Office calendar (Board sessions, events, trips)
  • Prepare, gather, and relay confidential information and material daily, ensuring security and confidentiality
  • Work with Office Manager to plan meetings, lunches, events, and off-sites for Executive Team and Board, including budget management, site selection, technology, and catering
  • Coordinate/arrange complex travel for CEO Office staff and Board
  • Prepare drafts of minutes for Executive Team meetings
  • Develop, edit, and finalize documents and presentation materials, often on short notice
  • Prepare expense reports for CEO Office staff and Board
  • Process invoices and track expenses against approved budgets for CEO Office and Board
  • Proactively create and maintain effective workflow and communications, handling multiple projects and tasks simultaneously
  • Respond to phone, email, and in-person inquiries, providing information or referring based on priorities, procedures, and protocols
  • Support OTPP Board and Board Secretariat Team with administrative duties (calendar, catering, expense management) as required
  • Serve as backup to Office Manager and Board Coordinator, performing other duties as required
  • Establish relationships within Teachers’, OTPP Board, and external contacts for organizational success and process consistency
  • Meet and greet guests at Reception and escort to meeting rooms
  • Support day-to-day activities of the CEO, Chief of Staff, and Manager, Office of the CEO
