Proven experience in an administrative or bookkeeping role is required, along with proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook). Excellent phone etiquette, strong organizational and multitasking abilities, and the capacity to work independently are essential. Familiarity with permit/license research or a willingness to learn is also necessary, as is a high attention to detail and accuracy in data entry and invoicing.
The Secretary/Bookkeeper will manage front-office communications by answering incoming phone calls and directing them appropriately or taking messages. Key duties include entering work orders and updating job statuses, creating and processing invoices accurately and on time, and assisting with accounts payable and receivable entries. The role also involves researching permit and license requirements, maintaining organized records, assisting with scheduling and email correspondence, providing administrative support to management and staff, and ensuring smooth office operations.
