Candidates must possess a high school diploma or equivalent, with a college degree being preferred. Prior legal records experience is required. Essential skills include excellent attention to detail, strong task focus, professional written and oral communication, and interpersonal/teamwork abilities. Intermediate Windows 10 computer skills, proficiency in Microsoft Word, Excel, and Outlook, and experience with LegalKey and eDocs DM are necessary. Preferred qualifications include document scanning and Adobe PDF toolset experience. The role also requires the ability to handle confidential materials, climb ladders/step stools, lift up to 50 lbs, push carts of files, and understand client inquiries effectively.
The Records Associate will be responsible for creating and revising files, performing data entry into the records management database, and adhering to document retention policies. Duties include labeling, moving, and shelving files, processing and filing incoming records, and following up on checked-out files. The associate will coordinate and track scanning projects, perform daily document scanning using computer desktop scanners and Adobe PDF, and conduct PDF quality control. They will use a handheld barcode scanner to track file movement, retrieve files as needed, and process inactive/closed files for off-site storage. Responsibilities also involve working with offsite storage vendors, routing and tracking shred bins, maintaining daily productivity logs, and researching client/matter information in firm databases. The role requires maintaining the highest levels of confidentiality for all firm records and files.
