Responsibilities

  • Coordinate the tender, contract, and execution process for Facilities agreements, ensuring all documentation and communication is issued accurately and efficiently
  • Deliver administrative support to the Projects team including raising jobs, contracts, processing budget revisions, and scope changes
  • Provide leasing administration support for Property Management team
  • Support the implementation, user training, and ongoing administration of Yardi Elevate Products
  • Create purchase orders and process staff expenses as required
  • Perform tasks efficiently utilising Microsoft Office suite (Outlook, Teams, Word, and Excel)
  • Review and check documents and forms for completeness, accuracy, and currency
  • Prepare and compile tender and contract documentation in line with approved templates and guidelines
  • Prepare documents and follow the document execution process for efficient and accurate contract execution
  • Provide key monthly updates to the Property team such as facilities contract expiries and bank guarantee status
  • Ensure approvals are in line with the Delegation of Authority and where required seek guidance from the Operations & WHS Manager
  • Perform administrative tasks across Property systems and tools including myBuildings, Cm3, Yardi Elevate Products, Docusign etc
  • Provide ad hoc support to the Property Operations team as directed by Operations and WHS Manager
