Good situational awareness and ability to quickly recall project status and task progress without constantly referring to notes
Ability to interpret and communicate basic technical information to clients, contractors, and other internal and external team members
Ability to assist Project Managers in planning and managing projects through involvement in all levels and stages of project delivery (in the context of providing administrative support)

Responsibilities

Liaise with clients, authorities, contractors, and team members to understand the scope of projects
Undertake and assist the Project Manager in the administrative functions of the project
Understand the status of projects, their lifecycle position, and prepare/complete all administrative paperwork including application forms, Service Advice Notices, on/off maintenance applications, and other forms required by authorities
Track applications and submissions, proactively following up with authorities, contractors, and team members to drive project outcomes
Support the team with administrative functions including inputs and assistance with contract administration such as progress claim review and preparation, general correspondence, extension of time requests, costs to complete, variation processing, calculating bond amounts, and requesting approvals from authorities
Schedule inspections with authorities and contractors
Take meeting minutes and records, finalize, and circulate minutes to attendees
