Requirements

  • Ability to evaluate and process requisitions raised by vessels
  • Skills in managing the RFQ process, including quote comparison, negotiating best prices or service, securing approvals, and awarding Purchase Orders
  • Capability to expedite readiness of critical items and resolve disputes in service delivery
  • Experience coordinating with suppliers and port agents for timely delivery of goods onboard vessels worldwide
  • Proficiency in communicating with vessels to ensure timely delivery and document processing
  • Competence in matching PO, DO, and invoices for timely supplier payments
  • Ability to resolve invoice discrepancies with vendors and finance team
  • Skills in maintaining up-to-date records and files for quick retrieval
  • Experience in supplier qualification and audit
  • Capacity to handle projects and other duties to improve work efficiency
  • Ability to track, service, and return landed items from vessels in consultation with the superintendent
  • Proficiency in monitoring fleet stock items at various locations
  • Skills in tracking and monitoring vessels' actual consumption vs. budget allocation
  • Ability to analyze vessel consumption patterns across vessel classes to identify unusual trends
  • Experience participating in identifying partner vendors for framework agreements
  • Competence in managing Framework Agreements, including tender process and post-tender contract management
  • Skills in supporting development of matrices to evaluate vendor/supplier performance
  • Ability to monitor vendor/supplier performance
  • Proficiency in compiling, checking, and correcting end-of-month reports from fleet vessels (e.g., Main Engine Performance Reports, Lubricant Monthly Reports, Main Machinery Running Hour Reports)
  • Active participation in maintenance of fleet documentation

Responsibilities

  • Ensure vessels’ stores, consumables, and spares requirements are met through requisition evaluation, RFQ management, PO awarding, expediting critical items, dispute resolution, supplier/port agent coordination, vessel communication, document processing, invoice matching, discrepancy resolution, record maintenance, supplier qualification/audit, project handling, and tracking/servicing returned items
  • Monitor and analyze vessels’ consumption of stores, consumables, and spares by tracking actual vs. budget and analyzing patterns across vessel classes
  • Support strategic procurement of stores, consumables, spares, and contract management by participating in vendor identification for framework agreements, managing agreements (tender and post-tender), developing performance evaluation matrices, and monitoring supplier performance
  • Maintain fleet documentation, including compiling, checking, and correcting end-of-month reports from vessels
