Requirements

  • Experienced Personal Assistant
  • High degree of self-management and initiative
  • Ability to maintain a high level of confidentiality
  • Ability to provide seamless, high-standard proactive support to a team of approximately ten Private Client fee earners
  • Capability to act as workflow manager, delegating and supervising document production, file management, copying/scanning
  • Ability to liaise with Building Services Manager for office operations

Responsibilities

  • Proactively managing complex diaries for fee earners
  • Answering telephone calls in a timely fashion, taking clear and detailed messages
  • Organising internal and external meetings
  • Liaising with clients via email, telephone and in person, acting as a point of contact in line with firm’s client care standards
  • Liaising with courts, The Crown Prosecution Service, and other institutions to organise court hearings, meetings, prison visits etc
  • Assisting fee earners in billing and credit control: generating accurate billing reports, draft bills, and letters
  • Assisting with finance tasks: requesting cheques, CHAPS/BACS payments, bank transfers, paying in money
  • Ensuring accurate and timely use of client relationship management tool for matter opening, maintenance, closure, archiving
  • Maintaining up-to-date client records on CRM tool (contact details, billing requests, other parties)
  • Co-ordinating fee earner movements and making travel arrangements
  • Managing client and matter inception process, ensuring timely file opening per firm policies
  • Managing submission of partner/fee earner expenses
  • Co-ordinating document production (digital dictations/manuscript amendments), e-filing, file management, photocopying, scanning, couriers, letters/faxes
  • Managing production of official documents including court papers
  • Actively participating in all relevant training
  • Demonstrating flexibility with working practices/processes, especially under pressure/high workload
  • Assisting other department members proactively or at team leader's request, working with legal and support departments
  • Any other relevant duties
