Requirements

  • Effective use of MS Office Suite and M365 Power Platform Tools (preferred)

Responsibilities

  • Document editing, proofing, formatting, and production
  • Data entry and paper/electronic document filing/archiving
  • Scheduling/coordinating meetings, diaries, and travel arrangements
  • Receiving/relaying telephone messages from internal and external sources
  • Handling confidential business and personnel information with discretion and professionalism
  • Issuing and processing Purchase Orders for Brand Managers and assisting in daily activities per established internal processes
  • Serving as subject matter expert (SME) for Purchase Orders (POs) and Invoices system and process, including end-to-end ownership of system design, maintenance, and project management
  • Communicating effectively with Directors and Managers on business-related matters
  • Following up on tasks and updating stakeholders on progress
  • Effective problem solving, finding the right resources to quickly solve issues
  • Processing expense reports for Directors
  • Managing office operations, including scheduling meetings, handling correspondence, and maintaining filing systems
  • Preparing reports, presentations, and documentation as required by management
  • Coordinating travel arrangements, expense reports, and logistics for staff and visitors
  • Maintaining inventory of office supplies and ensuring timely procurement
  • Assisting in HR-related tasks such as onboarding, maintaining employee records, and coordinating training sessions
  • Supporting finance team with invoice processing and basic bookkeeping tasks
  • Acting as a point of contact for internal and external stakeholders
