Responsibilities

  • Answer all incoming telephone calls using a multi-line phone system; determine purpose and route to appropriate party
  • Greet and assist guests professionally; identify visit nature and announce to personnel
  • Maintain detailed log of all visitor activity
  • Ensure security awareness in and around the lobby area
  • Route public inquiries about the organization
  • Provide accurate directions to building and parking areas
  • Open and close reception area daily, ensuring readiness and security
  • Partner with Document Management team to review data in Grooper, correct missing/incorrect data
  • Coordinate conference room scheduling, availability, and setup
  • Arrange and order catering for meetings and events
  • Monitor FAS email inbox; respond, forward, or escalate messages
  • Create and manage work orders for facility technicians and janitorial staff using ticketing system
  • Monitor and order supplies for inventory control
  • Issue parking cards for third-party garages
  • Collect personal contact and vehicle information for parking database
  • Take badge photos for new employees and onsite contractors
  • Assign badges to user profiles in security system for new employees and contractors
  • Add credentials to secure printing solution for new employees and contractors
  • Other duties as assigned
