Requirements

  • Ability to act as the first point of contact and face of the office, delivering great customer service with attention to detail and handling inquiries professionally
  • Capability to keep the office clean, organized, and compliant with Lightspeed standards, including supervising cleaning crew
  • Skills in planning and executing events/social activities, collaborating with the Culture Club to maintain office culture
  • Proficiency in ordering office supplies and pantry items, processing invoicing, and managing inventory to avoid shortages
  • Experience in managing vendor relationships for events, facilities, health and safety, security, maintenance, and selecting best-fit vendors based on quality, cost, and service
  • Competence in providing local oversight and coordination of property and facilities management, including scheduling regular maintenance
  • Ability to manage meeting room schedules and seating arrangements
  • Skills in reviewing, prioritizing, and redistributing work where appropriate
  • Capability to organize new employee office tours and onboarding on their first day
  • Proficiency in supporting employee travel booking and maintaining the platform
  • Experience handling incoming/outgoing mail, shipping, and couriers
  • Ability to manage internal decision-making with the Fleet vendor and coordinate fleet tasks (for 55 cars)
  • Willingness to contribute to wider team objectives beyond strict role scope
  • Adherence to Operations guidelines/processes, reporting issues or improvements timely

Responsibilities

  • Serve as the first point of contact and face of the office
  • Maintain a clean and organized office, complying with Lightspeed standards, and supervise the cleaning crew

  • Coordinate fun activities like birthdays, afternoon drinks, and departmental celebrations
  • Manage vendor relationships for events, facilities, health and safety, security, maintenance

  • Manage meeting room schedules and seating arrangements
  • Review, prioritize, and redistribute work where appropriate
  • Schedule regular maintenance to keep the office in top condition
  • Organize new employee office tours and onboarding on their first day
  • Support and assist with employee travel booking and maintain the platform
  • Handle incoming and outgoing mail, including shipping/couriers
  • Manage internal decision-making with the Fleet vendor and coordinate fleet tasks
  • Contribute to wider team objectives as needed
