Responsibilities

  • Coordinate workflow within the team, prioritizing requests and delegating duties to associates (*essential)
  • Assist the team in completing large jobs i.e. large meetings or high number of meeting requests (*essential)
  • Ensure team provides outstanding service to client, while building strong customer relationships (*essential)
  • Immediately escalate any operational problems or issues to Lead, Supervisor or Manager (*essential)
  • Produce required reports on schedule (*essential)
  • Provide hospitality intake services as prescribed by manager or supervisor (*essential)
  • Read, interpret and understand all print request emails and forms (*essential)
  • Communicate with manager and client on job or deadline issues (*essential)
  • Make sure that team is following standard operating procedures at all times (*essential)
  • Train new employees on policies and procedures (*essential)
  • Maintain all logs and reporting documentation as required
  • Additional duties as required by client and manager, including but not limited to providing hospitality services including set-up/break down of conference rooms, supply maintenance, ordering and preparing food/beverages as needed; assist with reception coverage, including managing multiple phone lines and visitor check-in
  • Adhere to Williams Lea Tag policies in addition to client site policies
  • Use equipment and supplies in a cost efficient manner
  • Provide hospitality and catering services at client site including conference room set-up, reception and concierge support, and other general office support, as needed (copy, mail and intake functions)
  • Auditing oversight of all practice floors and assign work, such as corrections to restore common spaces to client expectations, to team members
  • Inventory audits to ensure all floors have sufficient backstock of supplies and that existing stock is redistributed per client trends and usage
