Responsibilities

  • Perform highly diverse, time-sensitive, multifaceted administrative functions, projects, and tasks
  • Support leadership meetings, including agenda development, logistics, minute-taking, tracking and following up on action items
  • Process SOWs, contracts, invoicing; assist with budget tracking, expense reporting, and invoice processing
  • Support on-boarding and off-boarding of department team members
  • Liaise issues to proper resolution support teams related to technology equipment, software applications, facilities; independently research complex issues and escalate urgent ones
  • Maintain professional and technical knowledge (including AI tools) through BMS continuous learning modules and support team members in adopting AI tools and best practices
  • Proactively identify opportunities to improve processes and enhance administrative efficiency, including using AI for scheduling, document management, data analysis, and workflow automation
  • Lead or support special projects and initiatives as assigned
  • Manage complex calendars across time zones, coordinate global travel, and organize high-level meetings; proactively anticipate conflicts and needs
  • Interface professionally with senior executives and liaise across matrix teams (Medical, Commercial, R&D, HR, Legal, etc.) and external partners
  • Maintain team and subject-focused distribution lists; distribute or cascade messages on behalf of the team
  • Collaborate and partner with executive associates across the matrix to meet business needs and goals; handle confidential information with discretion, diplomacy, and judgment
