Requirements
- 5+ years of experience supporting C-level executives, preferably in fast-paced, high-growth environments
- Experience in both executive assistant and personal assistant responsibilities
- Excellent verbal and written communication skills with a high degree of professionalism
- Proven track record managing complex schedules, communications, and logistics across time zones
- Comfort handling confidential and sensitive information with discretion
- Proficiency with modern productivity tools (Google Workspace, Slack, Notion, etc.)
- Familiarity with reviewing legal documents and coordinating with external counsel, investors, and partners
- Ability to manage healthcare scheduling and insurance claims processes a plus
- Driver’s license and passport required for periodic travel
- Authorized to work in the U.S. without sponsorship
Responsibilities
- Manage all aspects of the CEO's business and personal calendar, communications, and travel logistics
- Coordinate high-stakes meetings with investors, partners, regulators, and internal leaders
- Serve as the main point of contact for communication and documentation flowing to/from the CEO
- Review, edit, and prepare materials on behalf of the CEO with a high degree of accuracy and discretion
- Ensure agendas, materials, and priorities are clear ahead of every meeting
- Partner with the Chief of Staff to protect and optimize the CEO’s time
- Own administrative processes including travel, household coordination, medical scheduling, vendor management, and bill tracking
- Support strategic projects and cross-functional coordination as assigned
- Anticipate needs, unblock bottlenecks, and adapt to changing priorities in real time
