Requirements

5+ years of experience supporting C-level executives, preferably in fast-paced, high-growth environments
Experience in both executive assistant and personal assistant responsibilities
Excellent verbal and written communication skills with a high degree of professionalism
Proven track record managing complex schedules, communications, and logistics across time zones
Comfort handling confidential and sensitive information with discretion
Proficiency with modern productivity tools (Google Workspace, Slack, Notion, etc.)
Familiarity with reviewing legal documents and coordinating with external counsel, investors, and partners
Ability to manage healthcare scheduling and insurance claims processes a plus
Driver’s license and passport required for periodic travel
Authorized to work in the U.S. without sponsorship

Responsibilities

Manage all aspects of the CEO's business and personal calendar, communications, and travel logistics
Coordinate high-stakes meetings with investors, partners, regulators, and internal leaders
Serve as the main point of contact for communication and documentation flowing to/from the CEO
Review, edit, and prepare materials on behalf of the CEO with a high degree of accuracy and discretion
Ensure agendas, materials, and priorities are clear ahead of every meeting
Partner with the Chief of Staff to protect and optimize the CEO’s time
Own administrative processes including travel, household coordination, medical scheduling, vendor management, and bill tracking
Support strategic projects and cross-functional coordination as assigned
Anticipate needs, unblock bottlenecks, and adapt to changing priorities in real time
