Requirements

  • 10+ years of administrative experience, preferably in a fast-paced environment supporting senior executives
  • Proven ability to handle confidential and sensitive information with discretion and good judgment
  • Demonstrated experience working independently and within a team to identify, analyze, and solve problems with creative solutions; proactive in identifying issues and solutions

Responsibilities

  • Function as the primary interface for the Vice President, Sales, Americas, CMD & the Vice President, Global Marketing, CMD; provide support to other leadership team members as needed
  • Interface professionally with key leaders, customers, and employees
  • Lead and maintain multiple executive calendars, including recurring meetings; prioritize appropriately and use good judgment for complex scheduling and meeting planning
  • Proactively manage communication (emails, phone calls, follow-up); screen inquiries, communicate messages, redirect calls, and respond to urgent inquiries across multiple time zones
  • Coordinate complex and multi-leg travel (accommodations, transportation, passport/visa requirements); anticipate and handle potential issues
  • Process and track expenses in a timely manner
  • Provide exceptional attention to detail and anticipate changes in priorities
  • Schedule and coordinate complex meetings (attendee communications, venue management, AV setup, catering, program materials)
  • Provide overall data management: solicit data from multiple sources, organize/compile for analysis/presentation, maintain files/records across platforms
  • Track and drive completion of key deliverables, proactively following up
  • Provide innovative methods for process improvements
  • Uphold strict confidentiality on all information and documents
  • Collaborate effectively in a complex global organization during change
  • Complete projects, special assignments, and other tasks as assigned
