Requirements

  • 7+ years of experience as an Executive Assistant, with at least 3 years supporting C-level or SVP-level executives (e.g., CRO, CEO, COO, or Head of Sales)
  • Experience in a fast-paced, high-growth B2B technology (SaaS) or financial services company is strongly preferred
  • Expert-level mastery of Google Workspace (Gmail, Calendar, Docs, Slides, Sheets) and Microsoft Office Suite (PowerPoint, Excel)
  • Familiarity with Slack, Zoom, and expense management tools (like Navan or Expensify) is essential
  • Ability to thrive in a dynamic, high-pressure environment where priorities can change in an instant
  • Remain calm, composed, and positive under pressure (adaptability & resilience)
  • Unquestionable integrity and the ability to handle highly sensitive and strategic information with absolute confidentiality (discretion)
  • Outstanding written, verbal, and interpersonal communication skills

Responsibilities

  • Act as the "air traffic controller" for the CRO and SVP of Sales, managing two extremely demanding and complex calendars across multiple international time zones
  • Proactively prioritize and resolve scheduling conflicts, ensuring executives' time is optimized for high-value activities
  • Coordinate and manage all logistics for internal and external meetings, including C-suite staff meetings, board preparation, Quarterly Business Reviews (QBRs), and executive-level customer/prospect meetings
  • Prepare and compile briefing materials, presentations, and agendas to ensure executives are fully prepared for all engagements
  • Manage complex global and domestic travel arrangements (flights, hotels, ground transportation), often with last-minute changes and complex itineraries
  • Prepare and submit accurate and timely expense reports for both executives
  • Serve as the primary point of contact and professional representative for the CRO and SVP of Sales, interacting with senior leaders, major customers, partners, and board members
  • Monitor and triage high-volume email inboxes, flagging urgent items, drafting responses on behalf of the executives, and delegating as appropriate
  • Assist in the planning and execution of key sales organization events, such as the annual Sales Kick-Off (SKO), leadership offsites, and team-building activities
  • Partner with the broader sales operations and enablement teams on special projects
  • Manage purchase orders and vendor relationships for the executive sales organization
