Responsibilities

Monitor inventory and order supplies as needed (amenity cards, printer ink, gate remotes)
Maintain amenity card system (clean/maintain printer, schedule service)
Program and print amenity cards for new residents
Communicate gate or callbox issues to access vendor
Program new remotes and gate access codes or coordinate updates with vendor (callbox database, remotes, removal of previous owner accounts)
Audit amenity and gate databases monthly to deactivate access for previous owners/tenants
Adjust access hours for amenities as requested by events director, community manager, or board
Troubleshoot and resolve issues with amenity cards and card readers
Assist residents and vendors in person or over the phone
Address concerns and complaints from residents or direct to appropriate contacts (Spectrum, law enforcement, utilities, county)
Maintain and stock inventory of clubhouse supplies (food, drinks, office, cleaning supplies)
Open and secure clubhouse each day, activate/deactivate alarm system
Monitor clubhouse equipment or building issues and contact vendors for repairs
Handle mail received daily (invoices, return mail, payments)
Inspect property routinely for amenity inspections and reported issues
Inspect fitness center twice a week (stock supplies, check equipment, ensure cleanliness)
Provide tours of clubhouse to residents for reservations
Coordinate clubhouse/conference room rentals to avoid conflicts
Log payments, rental agreements, and correspondence
Ensure collection and timely processing of rental payments
Update online reservation calendar
Program/deprogram amenity cards for after-hours access
Prepare clubhouse prior to events (clean counters/fridge, secure doors)
Conduct post-rental inspections and process deposit refunds
Coordinate and schedule vendors for rentals (HCSO, cleaning company)
Balance rental policies with special resident requests
Answer phones, emails, and respond to voicemails same-day
Accept and record payments for assessments, amenity cards, rentals, deposits
Provide weekly updates to Community Manager on clubhouse traffic, projects, issues
Submit invoices, process check requests, input credit card receipts
Create and maintain displays for community LED board
Attend monthly Board meetings (order catering, greet residents, sign-in, schedule hearings, prepare documents, assist with minutes)
Reserve elementary school cafeteria for annual meeting and coordinate with school staff
Coordinate with webmaster for website updates (events calendar, e-blasts, documents)
Locate vendors, obtain bids, schedule minor projects as requested
Field communication from Board of Directors on routine business
