Responsibilities

  • Process general contractor contracts, verifying insurance requirements and pricing
  • Create purchase orders from contracts and quotes
  • Make purchase order changes to reflect approved project change orders
  • Audit project payments and contractor final billing packages
  • Follow up and resolve issues with payment requests directly with general contractors and involved parties
  • Obtain payment approvals from project managers and directors, and log payments in Accruent
  • Train general contractors on billing procedures and requirements to ensure proper submittals
  • Research and resolve issues with vendor invoices and miscellaneous invoices
  • Submit construction uploads for freight of customer-owned inventory
  • Maintain invoices submitted in Ariba, including routing to departments and manual receiving
  • Close out purchase orders once invoices are received in full
  • Research all open aging purchase orders
  • Assist in periodic and quarterly reporting
  • Perform departmental scanning and indexing of project closeout files
  • Research AP and GL transactions as needed for internal, general contractor, or vendor payment inquiries
  • Complete miscellaneous department-assigned tasks
  • Support construction department in contract management, purchase orders, auditing general contractor payment requests, and verifying invoice payments
  • Assist with documents for construction allowance requirements, period close reporting, store construction costs, file scanning, creation of reports, and miscellaneous assignments
  • Function as direct contact for accounts payable department, project managers, directors, vendors, or contractors regarding invoice issues and billing questions
