Requirements

Responsibilities

  • Maintain office organization and ensure a clean and functional workspace
  • Manage administrative records, including entering data and completing required documentation
  • Handle office correspondence, including answering phone calls, relaying messages, and communicating with staff and stakeholders
  • Order office supplies and oversee equipment maintenance to ensure smooth operations
  • Schedule meetings and coordinate meeting logistics, including selecting meeting facilities, equipment, and meals for conferences
  • Take and maintain meeting minutes for mandatory meetings and share them with relevant parties
  • Ensure accurate data gathering and summarization for meetings or conferences
  • Keep updated lists of phone numbers, addresses, and colleague contact details
  • Distribute mail, messages, and correspondence to team members
  • Assist with administrative record-keeping and ensure all necessary documentation is completed on time
