Responsibilities

  • Accounts Receivable Analysis (15%): Regularly analyze Accounts Receivable data to identify trends, discrepancies, and areas of improvement, including reviewing aging reports and conducting reconciliations to ensure accuracy and completeness of transactions through contract management
  • Collection Management (30%): Proactively manage the collection process by following up on overdue invoices, communicating with customers to facilitate payments, and resolving billing disputes or discrepancies promptly, including internal adjustments such as credit memos, RMAs, and write-offs
  • Record and Report (30%): Track revenue recognition and record all transactions within the recognized month; perform invoice submission and month-end close duties related to A/R such as reconciling A/R GL to sub-ledgers, performing journal entries, calculating bad debt reserve; perform month-end close reconciliations related to revenue (booking deferred revenue, preparing amortization schedules, accruals) and costs (booking estimated costs, PO vs. accrual review, accruing new project costs); prepare and distribute regular reports such as bi-monthly Aging reports and ad hoc requests
  • Process Improvement (15%): Assist in the development and implementation of policies, procedures, and systems to streamline the accounts receivable process, improve efficiency, and enhance effectiveness, including projects related to invoicing structure and leveraging technology solutions
  • Cross-functional Collaboration (5%): Collaborate with internal teams (sales, customer service, logistics, finance) to resolve issues related to billing, collections, and customer accounts through effective communication and teamwork
  • Audit Support (5%): Provide support for internal and external audits related to accounts receivable, including preparing documentation, responding to inquiries, ensuring compliance, and reviewing orders in CRM tool (Salesforce) including maintenance
  • Sales-type lease accounting through accounting software and other duties as assigned
