Requirements

  • 3+ years of relevant experience in a travel or assistant-related role (previous experience with travel administration is an advantage)
  • Reliable, courteous and flexible team player with a great customer service attitude
  • Able to multitask and prioritise varying, sometimes competing requests
  • Organised and detail-oriented
  • Comfortable working independently, making decisions quickly and taking initiative to close the loop on outstanding issues
  • Can work a flexible schedule that may include early mornings and evening hours
  • Experienced with G Suite, Word and Excel
  • Previous work with Jira is an advantage
  • Fluency in English is required

Responsibilities

  • Booking travel for recruiters to attend campus recruiting events across Asia (flights, hotels, car bookings)
  • Booking travel for candidates to attend onsite events, interviews and internships (flights, hotels, car bookings)
  • Processing candidate travel expenses
  • Managing all travel communications
  • Overseeing the entire booking process, ensuring compliance with travel guidelines and offering suggestions or alternatives as needed
  • Maintaining the travel intranet site, vendor portals and in-house database
  • Managing the couriering for campus-related materials for recruiting events across Asia
  • Serving as the primary point of contact for travel-related issues for Jane Street candidates and the Hong Kong Recruiting team
