Responsibilities

  • Ensure professional and technical operation of the client access team and adherence to all policies and procedures
  • Provide overall supervision of the Client Access team focusing on Physician satisfaction, Co-Worker Satisfaction, Client Satisfaction, Quality, and Business Performance
  • Oversee team oversight and staff development
  • Review the accuracy of CA assigned direct reports' timecards and time off requests
  • Meet with Leads and staff to discuss issues, identify areas of opportunity in workflow, processes, and personnel
  • Handle coaching responsibilities for Leads and staff
  • Manage training and team development
  • Collaborate with department leaders and staff to ensure continuing Client Access Representative (CAR) education and training needs are met
  • Conduct yearly evaluations of direct reports, provide feedback on performance, and set obtainable team and staff goals and expectations
  • Participate in yearly self-evaluations by setting actionable and obtainable goals
  • Provide evaluation and feedback on supervisor-specific growth and development
  • Collaborate with Manager of Client Access on new process development
  • Conduct continued process reviewing with all levels of CA management and staff
  • Represent Revenue Cycle and CA professionally and collaboratively in internal discussions and meetings, supporting innovation with forward-thinking and cost-effective solutions
  • Prepare and distribute relevant daily information clearly and concisely (e.g., process changes, updates to provider schedules, training opportunities, CA staff updates and reminders, other daily CA tasks)
  • Represent the System professionally with external vendors, supporting innovation with forward-thinking and cost-effective solutions
  • Implement, initiate, and manage reports and audits related to client overall experience and accuracy (e.g., check-in demographics, payments, provider alerts; intake; check-out scheduling)
  • Provide feedback to Manager and SAD for development of action plans related to department growth and improvement
  • Conduct onsite visits/observations weekly or as needed
  • Ensure Lead engagement and availability to staff for questions/support daily or as needed
  • Provide documented feedback and communication regarding staff development and coaching opportunities
  • Provide documented feedback and communication to Manager and CA leadership team on process changes, new or expiring programs, staff development, coaching opportunities, and day-to-day workflow concerns
  • Communicate the strategic direction of the organization and encourage participation by all team members
  • Provide leadership and guidance to all aspects of the department
  • Take an active role in monitoring the identification, development, and execution of strategic objectives
  • Involve all team members as appropriate to achieve goals
  • Effectively communicate changes and newsworthy events within the department or company to team members
  • Handle difficult team member situations directly, using appropriate discretion and Human Resource advice, showing respect for the individual
