Responsibilities
Manage daily facility and fleet operations across assigned locations
Serve as primary point of contact for all building and fleet-related issues and respond promptly to emergencies (e.g., breakdowns, equipment failures, building system outages)
Source, evaluate, and manage vendors and contractors for facility and vehicle maintenance services; review new account setups and vendor onboarding
Negotiate service agreements and monitor maintenance and repair budgets for cost-effectiveness
Coordinate with vendors and service providers for timely, cost-effective repairs; monitor/evaluate repair work for quality and compliance
Ensure vehicles and buildings are in safe working condition; oversee repairs to minimize downtime, including compliance with federal, state, and local regulations (inspections, licensing)
Maintain building safety standards and adherence to OSHA and company safety protocols
Coordinate quarterly inspections and routine maintenance of key building components (e.g., HVAC, electrical, plumbing, roofing)
Prepare and present reporting on operational statuses, issues, and improvement recommendations to management; identify opportunities to reduce expenses and improve efficiency
Coordinate projects and assignments with team and other departments; maintain policy and procedure documentation
Maintain accurate, up-to-date inventory of vehicles (registration, assignment status) and track facility-related assets and building systems
Train internal and external customers on policies, procedures, and workflows
Analyze accounts receivable, billing, and process inquiries while providing superior customer experience
Determine and implement process improvements for operational efficiencies
