Candidates should possess a high school diploma or equivalent, and a minimum of three years’ experience preferably in a legal, banking, or large corporate environment. General knowledge of records terminology, including terms of media, category, and standard title, along with experience in legal records services, record-keeping, records management, and information governance is required. Proficiency in records software programs for legal records services, records management, or record-keeping, particularly with alpha-numeric filing formats, is also necessary. Advanced knowledge of file management and retention procedures, as well as advanced skill in the use of MS Office software (Word, Excel), are essential qualifications. Proven ability to coordinate workflow and use timekeeping or job tracking systems is required, alongside the ability to check the work of other team members as part of a quality assurance (QA) procedure.
The Records Workflow Coordinator will coordinate workflow within the team, prioritizing jobs and delegating work requests to associates, monitor workflow to ensure jobs are completed efficiently and accurately, locate, retrieve, and prepare records files for client requesters or vendors, independently complete records services work tasks, conduct and review data entry into records management database, assist the team in completing large or complex jobs, perform and review data entry into records management database, conduct and review data entry into records management database, produce required reports on schedule, train new team members, utilize appropriate logs and/or tracking software for all assigned work, communicate and escalate issues with peers, supervisors, or clients, handle sensitive and/or confidential documents and information, assist peer teams in other service lines, complete other tasks and assignments as assigned by management, professionally interact with clients, adhere to Williams Lea policies and client site policies, utilize equipment and supplies cost-efficiently, and be able to lift up to 50 lbs. on a regular basis.
