Requirements

  • Minimum 2 years of experience in receptionist, administrative, or front-desk roles
  • Professional and welcoming demeanor with strong communication skills
  • Proficiency in managing multi-line phones, mail, and courier coordination
  • Strong organizational skills with attention to detail
  • Comfortable handling multiple tasks and ad-hoc administrative duties
  • Demonstrated knowledge of office software and data entry
  • Discretion and professionalism with confidential information

Responsibilities

  • Greeting visitors (customers, vendors, IKO employees) and directing them to the appropriate person/department
  • Answering all incoming calls to the main switchboard and redirecting calls as appropriate
  • Opening and distributing incoming mail to various departments
  • Preparing outgoing mail (addressing, applying postage, etc.)
  • Sending and receiving courier packages, including preparation of paperwork and coordination of pick-up times
  • Requisitioning office supplies and entering purchase order requisitions into JDE
  • Receiving office supplies and entering receiving information into JDE
  • Independent confirmation of vendor/customer bank accounts to support Accounts Payable
  • Performing other ad-hoc administrative tasks as assigned
