Requirements

  • Currently enrolled in, or recently graduated from, a Bachelor’s degree or diploma in Business, Commerce, Supply Chain Management, Operations, Finance, or a related field
  • Strong academic or project-based exposure to supply chain, operations, procurement, or finance (asset)
  • Comfort working with spreadsheets (e.g., Excel or Google Sheets) for basic data analysis, tracking, and reporting
  • Experience with ERP, procurement, or finance systems (e.g., SAP, Oracle NetSuite, Coupa, Procurify, Jaggaer, etc.) (asset but not required)
  • Prior co-op, internship, or part-time experience in operations, finance, administration, or logistics (plus)
  • High attention to detail with the ability to accurately enter, review, and reconcile data
  • Strong organizational and time management skills; able to manage multiple requests and deadlines in a fast-paced environment
  • Clear written and verbal communication skills to interact with internal stakeholders and external vendors
  • Comfortable working with numbers, pricing, and basic calculations (e.g., taxes, totals, comparisons between quotes)
  • Familiarity with basic procurement concepts (purchase requisitions, purchase orders, invoices, receipts, vendors, lead times) or interest in learning them quickly
  • Ability to follow structured processes and standard operating procedures, while also suggesting improvements
  • Proficiency with common productivity tools such as Google Workspace or Microsoft Office (Docs/Word, Sheets/Excel, Slides/PowerPoint)
  • Ability to create and maintain simple tracking tools such as logs, checklists, and status reports for orders and vendors
  • Willingness to support change management activities related to new tools (e.g., testing new systems, documenting steps, gathering user feedback)

Responsibilities

  • Support the creation and tracking of purchase orders from request through receipt and invoice matching
  • Maintain up-to-date status of all active POs (ordered, shipped, received, invoiced)
  • Coordinate with the receiving and inventory teams to ensure goods are checked in correctly
  • Assist with reconciling delivery notes, packing slips, and PO records
  • Communicate with suppliers to obtain quotes, confirm lead times, and clarify order details
  • Follow up on open orders, shipment dates, and backorders
  • Help document standard operating procedures (SOPs), checklists, and templates for procurement processes
  • Identify opportunities to streamline manual tasks (e.g., templates, pre-approved supplier lists, standard order forms)
  • Work closely with engineering, operations, finance, and other teams to clarify requirements and timelines
  • Support internal training by preparing simple reference materials or FAQs for procurement-related questions
  • Support the procurement team in implementing and testing the NetSuite procurement module, including assisting with data migration, validating workflows, and generating custom reports
