Requirements

  • 2–4 years of experience in operations, project coordination, or communications support, ideally in a global or matrixed organization
  • Strong organizational and planning skills, with the ability to manage multiple tasks and priorities
  • Comfortable using collaboration and project management tools (e.g., Smartsheet, Monday.com, or Google Workspace)
  • Detail-oriented, proactive, and eager to learn — with a passion for bringing structure and efficiency to complex work
  • Strong written and verbal communication skills, and the ability to collaborate effectively across teams
  • Interest in communications, marketing, or corporate affairs is a plus

Responsibilities

  • Support the planning and execution of cross-functional communications initiatives and campaigns
  • Track timelines, deliverables, and key milestones, ensuring project details stay organized and up to date
  • Maintain shared trackers, dashboards, and reports to give visibility into project progress
  • Assist with project documentation and follow-up actions after meetings and reviews
  • Help maintain team calendars, planning tools, and documentation to keep workflows organized and consistent
  • Support team meetings, offsites, and reviews — including logistics, materials, and recaps
  • Contribute to refining team processes and templates that make collaboration easier and more consistent
  • Assist in tracking key strategic projects against timelines and defined outcomes
  • Support quarterly and annual planning by gathering inputs and updating project plans
  • Help prepare summary updates for the Comms Leadership Team on project status and priorities
  • Work closely with partners across Comms and other functions to help coordinate activities and share updates
  • Support information flow and follow-ups to ensure alignment across teams and regions
