Requirements

Responsibilities

  • Assisting with onboarding of new team members, providing comprehensive, task-specific training
  • Serving as internal lead and point of contact (POC) for each show, coordinating efforts and facilitating communication
  • Checking stand plans while following event stand building regulations
  • Setting up and updating stand check system
  • Maintaining and updating all online show manuals
  • Managing all show email inboxes and fulfilling general correspondence and enquiries
  • Managing all exhibitor lists and floorplan distribution
  • Managing stand plot distribution
  • Vendor management: liaising with 3rd party vendors on AV features, digital signage, catering, crates, floral, furniture, hi-vis jackets, radios, IOSH/health & safety training, IT & comms, temp staff, and others
  • Chasing service order forms and contractor/exhibitor requirements (artworks, nameboard lists, stand package details, certificate of insurance, public liability certificate)
  • Managing trackers and maintaining show folder management (health & safety files, contractor on-site information, Smartsheet workspace setup, supplier order trackers)
  • Liaising with show team and venue operations for meeting room bookings and organizer office requirements
  • Sales support: managing sales entries, quotations, and invoices
  • Uploading show logo, addendum, rules and regulations, and indemnity documents to sales tools
  • Managing barter process (chasing invoices, credit notes, creating POs, liaising with credit control, completing new supplier forms)
  • Rebooking support: assisting Sales Team with capturing interest for next event edition, contracting onsite, managing booking forms/enquiries
  • Managing supplier compliance documents (supplier set-up, Master Service Agreements, Schedule of Work, drafting legal documents)
  • Managing exhibitor services (exhibitor badges, generating/distributing exhibitor zone credentials, responding to general inquiries)
  • Managing post and shipping for Sales and Marketing Teams
  • Managing travel queries: liaising with airlines, hotels, car vendors, coordinating travel arrangements
  • Venue negotiation: negotiating pricing, terms, flexibility; maintaining relationships with hotel/venue contacts
  • Organizing and managing on-site requirements (coordinating pickup/delivery of supplies, feature area management, general marketing team support)
  • Event marketing: managing exhibitor profile completion, show invitation letters, E-signature distribution, marketing assets chase, marketing campaign calls
  • Proofing printed/digital collaterals (show catalogue)
  • Liaising with marketing teams for content updates on show websites, mailings/emails, creative materials production and delivery
