Requirements

Bachelor’s degree or equivalent experience
Proven administrative support experience
Experience with procurement/expense management (e.g., Concur) is a plus
Fluent in Dutch and English, both spoken and written
Strong organizational and time-management skills
Excellent attention to detail
Able to handle multiple priorities independently
Proactive and customer-oriented mindset
Proficiency in Microsoft Office (Word, Excel, Outlook, etc.)

Responsibilities

Coordinate schedules, meetings, and travel for selected stakeholders, including calendar management, appointment planning, and travel arrangement support
Provide administrative and logistical support for visits, internal events, and team-building activities in close collaboration with the Communications team (e.g., room bookings, catering, practical arrangements)
Maintain office operations, including supply administration, inventory management, and support for employees’ special occasions
Support procurement and invoicing processes, onboard new suppliers in the system, and ensure purchase orders and invoices are processed accurately and on time
Oversee site access and mobility logistics, managing physical access to premises, parking requests, shuttle registrations, and related employee inquiries
Ensure efficient information and system support, including Concur access/submission guidance, minute-taking, and timely responses to emails and administrative requests
