Requirements

  • 6 months - 2 years of experience with event coordination or office management
  • Bachelor's degree in administration or equivalent experience
  • Proficiency in standard Mac applications
  • Highly organized and a natural problem-solver
  • Excellent verbal and written communication skills
  • Ability to exhibit integrity and professionalism while remaining personable and approachable
  • Ability to handle multiple tasks with accuracy and efficiency

Responsibilities

  • Oversee entry to the building during open office hours
  • Warmly greet employees, visitors, partners, vendors, and candidates
  • Help maintain a safe, clean, organized and welcoming environment
  • Promote a positive front office atmosphere and a collegial corporate culture
  • Manage processes to ensure adherence to Podium's standards
  • Manage setup, coordination and scheduling of on-site company events
  • Manage a high level budget
  • Plan and execute company-wide events
  • Coordinate calendars and scheduling for office events and Podium Perks (ebikes, food trucks, etc.)
  • Maintain relationships with onsite vendors (e.g., Podium Cafe, daycare, etc.)
  • Order company meals and manage snack and beverage vendors
  • Oversee shipping and receiving of USPS, FedEx, and UPS
  • Ensure that the conference rooms, kitchens and supply areas are well stocked and maintain supply inventory
  • Collaborate with other team members and departments on a variety of projects
