Requirements

  • Coordinate company-wide perks (catering, beverages, snacks)

  • Optimize efficiency and ensure seamless experience with transport and escort services
  • Resolve transport and escort-related complaints and issues
  • Ensure safety and security of employees using office transport
  • Manage leadership visits, including travel bookings (tickets, stays), and plan itineraries
  • Manage office inventory and assets, keeping inventory tracker up to date
  • Act as primary accountable party for safety of office inventory and assets
  • Conduct regular inventory audits and reconcile discrepancies
  • Manage reception staff to ensure best experience for employees and guests
  • Maintain confidentiality of organizational, guest/visitor, and employee information
  • Assist in preparing budgets and monitoring expenditures for office supplies, facilities, and administrative functions
  • Identify cost-saving opportunities without compromising quality
  • Validate vendor invoices, coordinate approvals with leadership, and follow up on payments with finance/accounts
  • Build and manage vendor relationships, placing orders for office inventory (stationery, employee gifts, swag)
  • Procure inventory through strategic pricing negotiations for cost-effective, best-in-class services and products
  • Assist with planning events, projects, and talent engagement initiatives to promote organizational culture
  • Execute program content focusing on corporate themes, following educational and entertainment principles, and obtaining leadership approvals
  • Coordinate event/meeting space, schedule deliveries, and schedule external contract services
