About The Role

The Clinical Operations team at Headway is dedicated to ensuring the accuracy, compliance, and clinical soundness of documentation and coding for the services we support. We are seeking a Medical Coding Specialist to contribute to this critical aspect of our mission.

This role requires a Certified Professional Coder (CPC) who will be responsible for auditing medical records to ensure adherence to behavioral health coding and documentation standards (ICD-10-CM and CPT). While this is not a production coding position, the ideal candidate will possess strong analytical and auditing skills, coupled with a thorough understanding of mental health diagnoses, documentation requirements, and industry coding guidelines. This individual will work closely with providers to deliver audit feedback and support continuous documentation quality improvement in collaboration with internal teams.

Responsibilities

  • Audit behavioral health documentation and coding (ICD-10-CM and CPT) for accuracy, compliance, and completeness.
  • Deliver actionable feedback to providers through 1:1 remediation meetings and scheduled Coding Office Hours.
  • Serve as a subject matter expert by answering coding-related questions and supporting internal QA calibration processes.
  • Contribute to provider education efforts, including drafting content, identifying documentation gaps, and advising on clinical documentation standards.
  • Provide insights on coding trends, identify risk areas, and recommend improvements to tooling, product, and training.
  • Collaborate with cross-functional partners on initiatives such as Clinical Annotation Tool (CAT) enhancements and billing code guardrails.
  • Stay current with evolving coding guidelines, payer rules, and industry standards through continuing education and independent learning.

Qualifications

  • CPC certification (required).
  • 2+ years of experience in outpatient or professional services coding, preferably within behavioral health.
  • CPMA certification is a plus, or demonstrated strong auditing experience.
  • Solid understanding of ICD-10, CPT, and HCPCS coding systems and their associated documentation requirements.
  • Excellent communication and interpersonal skills, with the ability to educate providers empathetically and deliver sensitive feedback.
  • High attention to detail and the ability to work independently in a fast-paced, digital environment.
  • Tech-savvy, comfortable with Google Workspace, Zoom, and EMR platforms, or eager to learn.
  • Enthusiastic about cross-functional collaboration and driving quality at scale in a tech-forward setting.

Compensation and Benefits

  • The expected base pay range for this position is $70,040 - $103,000, based on a variety of factors.
