Requirements

  • Ability to interpret and implement contractual invoicing requirements
  • Knowledge of Master Service Agreements, Statements of Work, Amendments, and Purchase Orders
  • Understanding of billing systems (e.g., SAP)
  • Familiarity with contract elements including Transition Fees, Policy Counts, T&M Labor, SLA Requirements, Pass-Through Expenses, CPI language, and Erroneous Payments
  • Ability to determine labor rates based on job descriptions or roles
  • Capability to perform forensic analysis of contractual obligations for billing disputes
  • Skills in prioritizing workload with minimal supervision to meet deadlines

Responsibilities

  • Collaborate with CSM, ADL, AGM, and Corporate Billing teams to ensure invoicing per contract
  • Review contract invoicing requirements for implementation feasibility
  • Track contract changes and expiration dates for compliance (e.g., change controls, amendments)
  • Review and understand contracts for all deliverables and requirements
  • Work with Billing Manager and CSM to create or change charge codes (Work Breakdown Structure)
  • Review T&M Labor and make adjustments prior to invoicing
  • Determine labor rates, obtain CSM approval, and submit bill rate changes in SAP
  • Download SAP reports, verify vendor expenses for pass-through or non-billable status, and validate vendor invoices
  • Maintain and update CPI changes, submit rate changes (PHRate file)
  • Update and trend policies and transaction counts monthly for invoices
  • Calculate SLA penalties monthly per contract terms
  • Verify Improper Disbursement penalty reports against contract language
  • Create and submit volumes files for policy count invoicing to SAP
  • Review and approve consumption in billing system, balance draft invoices, obtain approvals, and generate final invoices
  • Prepare client packages for delivery or upload to client AP site
  • Collaborate with client and CSM to obtain current POs for invoicing
  • Maintain and update client invoicing procedures
  • Analyze cost per policy reports for anomalies, research, and follow up on vendor issues
  • Assist with investigating and resolving AP/AR issues
  • Work with procurement team to ensure POs are processed correctly with right charge codes
  • Resolve issues related to customer billing within billing team's control
  • Assist AP/AR teams, CSM, ADL, AGM with complex billing disputes using contractual knowledge
  • Assist with vendor invoice cost code allocation
  • Assist Billing Manager, Billing Lead, and team as needed
  • Maintain all invoicing backup information for clients and auditors
