2+ years of experience in an administrative, coordination, or financial support role
Direct experience with expense reporting is a significant plus
Graduate of any 4 to 5-year College Course

Professional discretion. Proven ability to handle confidential information with discretion
Organization skills. Exceptional attention to detail and organizational skills. Familiarity with expense software (e.g., Concur, Expensify) or similar financial tools is highly desirable
Customer Service and Communication Skills - Strong verbal and written communication skills. Excellent interpersonal skills and ability to interact effectively with all levels of employees, with a high customer service focus
Collaboration - Ability to collaborate across multiple functions with customer service mentality. Ability to build trusting relationships whilst working remotely. Collaborative team player with effective team working skills, and the ability to work independently as required
Analytical and Reporting skills - Ability to generate reports and using Excel (vlookup, pivots etc) for a key HR programs on a recurring basis, also responsible for ad hoc reporting and analysis. Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace
Willing to work on night shift
Willing to work on hybrid setup (10-11 days in office per month, Cubao or Ortigas)
Responsibilities
Expense Report Management: Prepare, submit, and track detailed expense reports for executives using designated accounting software
Gather and reconcile receipts, ensuring compliance with company policies
Monitor and manage executive corporate card statements, resolving any discrepancies quickly
Administrative and Executive Support: Provide general administrative support, including scheduling, calendar management, travel booking, and correspondence (as needed)
Organize and maintain executive files and records, both physical and digital
Act as a professional and friendly point of contact between the executive and internal/external stakeholders
Project Coordination: Assist in the execution of small projects and initiatives as directed by the executive
Track project deadlines, gather necessary materials, and help draft preliminary reports or presentations
Coordinate meetings and follow-up actions related to ongoing projects
