Requirements

Candidates must have a high school diploma or equivalent, with an Associate's or Bachelor's degree preferred. Prior experience as an Administrative Assistant in a remote setting is required, along with proficiency in Microsoft Office Suite. Experience with Smartsheets is a plus. Strong verbal and written communication, excellent organization, multitasking, time management, attention to detail, and problem-solving skills are essential. Applicants must be able to work independently and collaboratively in a fast-paced virtual environment and possess a professional demeanor and strong work ethic. Familiarity with HIPAA/PHI compliance is required, and experience in the healthcare or insurance industry is preferred. A fixed fibre internet line with a minimum speed of 25 Mbps and a reliable power backup solution are mandatory.

Responsibilities

The Administrative Assistant will provide customer service support to clients, including scheduling appointments, processing payments, and coordinating insurance documentation. They will handle service package sales professionally, communicate with clients, therapists, and team members via multiple channels, and monitor productivity and attendance reporting. This role involves supporting team members with task tracking and administrative duties, and safeguarding confidential company and patient data in compliance with HIPAA standards.
