Requirements

  • Proactive approach to Operational Standards, Safety, Communication, and Cost Management
  • Ability to travel throughout London to meet business needs
  • Experience or capability in vendor management, including attending MBR meetings, reviewing performance metrics (footfall, ticket completion, budget vs spend), managing PPM planners, ensuring legal compliance, and overseeing service contractors (Cleaning, M&E, Pest Control, Waste, Hygiene Services)
  • Proficiency in managing Salesforce tickets within Service Level Agreements
  • Skills in community support, communication with Community Teams and Area Directors, and driving NPS improvements/recovery plans
  • Financial acumen for budgeting, forecasting, managing OPEX/CAPEX, P&L reviews, raising Purchase Orders/Change Orders, and invoice approvals
  • Knowledge of compliance processes, including conducting operational audits, H&S management, FRA/WRA/H&S audits, fire drills, LOLERs, PVI inspections, and life safety systems

Responsibilities

  • Vendor Management: Attend MBR meetings with vendors (supported by Facilities Contract Manager), review performance/footfall/ticket completion/budget vs spend; manage PPM planners for legal compliance and corrective actions; ensure safe works adhering to best practices; support management of service contractors and SLAs; own Salesforce tickets within SLAs; communicate forecasted changes to vendors
  • Community Support & Communication: Support Community Team with 3rd party vendors for building standards and feedback; work with Community Team & Area Directors on NPS improvements/recovery; provide first-class support to Community Team; ensure clear communication on projects; collaborate proactively on trending/common issues
  • Finance: Work with Operations Director on CAPEX budgeting/forecasting; manage/control OPEX budgets and all portfolio spend; provide monthly spend vs budget/P&L reviews in MBRs; forecast OPEX costs; manage vendor costs/supplies; raise Purchase Orders/Change Orders and approve invoices
  • Compliance: Conduct minimum 2 operational audits per building annually, own/complete actions; work with H&S Manager on compliance; proactive H&S development; plan/attend/own actions for FRA/WRA/H&S audits; plan/attend fire drills and own actions; arrange LOLERs and follow-ups; organise PVI inspections for coffee machines; check contractor reports for life safety systems compliance; work with Lift Consultants
