Requirements

5-10 years experience in a cross-functional executive assistant role or similar support function
Successfully supported multiple leaders in the past
Worked in a hard tech startup or similar environment
Managed and optimized extremely busy calendars
Detail oriented with functional skills like mastery of Asana, bullet-system, etc., to manage work effectively
Strong communication skills, able to tailor messages to specific audiences (e.g., writing an email to a Senator vs. a Customer vs. an Exec)
Discretion and rock-solid confidentiality for handling sensitive information
Humility and diplomacy, decisive in making noncontroversial decisions
Very fluent in Google Calendar, Docs, Sheets, Gmail, etc., and other modern productivity software; excited to learn and use new tools
Genuine interest in the technology being built and the transformative potential of AI
Comfortable with ambiguity, rapidly-evolving business priorities, independence, and task-level ownership
Based in San Francisco, CA (hybrid model of 3 days in office per week)

Responsibilities

Build strong connections within the immediate team and across other departments, becoming a trusted partner to leaders, including understanding team dynamics, priorities, and stakeholders to facilitate seamless coordination on high-stakes projects
Excel in sharing information clearly and efficiently, adapting communication styles for a broad range of audiences
Balance the calendars and priorities of multiple leaders, demonstrating prioritization skills and agility in adapting to shifts in priorities, while maintaining accuracy and meeting deadlines
Operate with discretion and independence, proactively optimizing processes, flagging risks, and ensuring sensitive information is handled with care
Manage complex scheduling, coordinate projects, and optimize workflows
Anticipate needs, streamline processes, and provide comprehensive support to ensure executives can focus on high-impact initiatives
Drive best practices to help scale exec and team operations, leveraging deep understanding of business objectives and OpenAI’s mission
