Responsibilities

  • Maintain and manage executive calendars, including recurring meetings, prioritizing appropriately, and offering solutions to complex scheduling
  • Help VP remain proactive in managing time and priorities
  • Function as the primary interface for the Senior Clinical Leadership team to ensure smooth workflows, interfacing professionally with key leaders, customers, and colleagues
  • Coordinate complex global travel, including multi-stop itineraries, accommodations, local transportation, passport/visa requirements; compile, submit, and track expenses proactively; anticipate and respond to travel issues
  • Schedule and coordinate complex meetings, including attendee communications, venue management, audio/video set-up, catering, and program material preparation (e.g., leadership events, off-sites, customer visits, town halls, team meetings)
  • Collate and access data/information in Excel and create high-quality PowerPoint presentations
  • Serve as an information source and advisor on departmental and organizational policies and procedures
  • Track and drive completion of key deliverables, proactively following up on outstanding items; track and facilitate external commitments and approvals
  • Uphold strict confidentiality; manage highly confidential information and documents with discretion
  • Proactively manage communication (emails, phone calls, follow-ups); screen inquiries, communicate messages, redirect calls, and respond to urgent matters
