Requirements

  • 12+ years of executive assistant experience, including at least 5 years supporting at the C-suite level
  • Exceptional communication and project management skills, including the ability to communicate effectively at an executive level
  • Strong prioritization skills and the ability to manage multiple workstreams in a fast-paced environment
  • Meticulous attention to detail, with strong organizational and multitasking abilities

  • Highly organized, with exceptional follow-through and an ability to build trusted relationships across all levels of the organization

Responsibilities

  • Manage the CEO’s internal and external calendars using judgment, prioritization, and decision-making skills — applying technology and AI tools to streamline scheduling and communication
  • Prepare and manage confidential information with integrity and discretion
  • Plan and manage events such as off-sites, site visits, and executive team gatherings, incorporating digital tools to improve coordination and engagement
  • Partner with Executive Admin colleagues on special projects, company-wide events, and cross-functional initiatives
  • Coordinate all travel arrangements and accommodations for the CEO, including complex domestic and international itineraries
  • Create and submit expense reports efficiently, leveraging automation and AI tools for accuracy and timeliness
  • Support the CEO in meetings by managing materials, tracking outcomes, and following up on key action items
  • Partner closely with the Chief of Staff to maintain the efficiency and effectiveness of the Office of the CEO
  • Serve as the primary point of contact for internal and external partners on all matters pertaining to the CEO, including those of a highly confidential or strategic nature
  • Collaborate with the Communications team to plan and deliver key messages, exploring new ways AI can enhance clarity and storytelling
