Responsibilities

  • Provide high-level administrative support to ~four senior leaders/portfolio managers
  • Manage telephones: triage incoming calls, handle directly where possible, and escalate as needed
  • Oversee complex calendar management: use discretion to schedule and confirm meetings with internal and external parties; remind managers of upcoming meetings and assist in material preparation and distribution
  • Coordinate domestic and international travel arrangements
  • Build and maintain strong external relationships crucial to the success of the teams you support (e.g., brokers, company management teams, etc.)
  • Prepare meeting summaries, notes, presentations, memos, board reports, and other correspondence
  • Process travel and expense reports via Workday
  • Manage or assist with various department projects as needed
  • Provide back-up coverage for executive and administrative assistants on an as needed basis
  • Handle occasional personal tasks
