Responsibilities

  • Manage day-to-day workings of supported leaders (Vice President and Director, Human Resources)
  • Answer phone calls and direct them appropriately
  • Schedule in-person and virtual meetings, conference rooms, and video chats across multiple time zones
  • Manage multiple calendars strategically, directing competing priorities and adjusting for emergencies
  • Prepare regular reports and summaries, including time reporting and financial accounts
  • Prepare PowerPoint presentations and other client-facing communications
  • Draft emails and letters on behalf of leaders
  • Collaborate on projects and Cast requests by conducting research, writing, and fact-checking
  • Create multi-city travel itineraries considering time zones and critical factors
  • Assist with onboarding new employees, including ordering equipment, setting up office space, and answering questions
  • Act as casual buyer for office supplies, manage purchase orders, and vendor contracts
  • Manage external inquiries (e.g., sales calls from vendors)
  • Set up invoices in systems and ensure timely payment
  • Host external guests (vendors, interview candidates), handling security, escorts, refreshments, and lunch
  • Be an active participant in the team
