Requirements

  • Experienced administrative professional with a strong background in supporting senior executives
  • Exceptional organizational skills with a proactive approach and the ability to manage competing priorities, anticipate needs, and operate effectively in a dynamic, fast-paced environment
  • Comfortable handling sensitive information with discretion and professionalism, especially in the context of confidential strategy discussions, talent & development conversations, and M&A-related activity
  • Advanced proficiency with MS Office (Outlook, PowerPoint, Excel, Word)
  • Experience with collaboration tools such as Teams and SharePoint
  • Knowledge of 365 Copilot and prompt engineering know-how
  • Strong verbal and written communication skills, with an ability to synthesize information and support the creation of professional presentations

Responsibilities

  • Provide comprehensive administrative support, including proactive calendar management, travel arrangements, expense reporting, and logistics for President and selected L1 leaders
  • Efficiently manage the calendar by organizing meetings, appointments, and events; proactively resolve scheduling conflicts and ensure optimal time allocation for strategic priorities
  • Act as a gatekeeper and liaison, handling incoming and outgoing communications; draft, proofread, and manage emails, letters, and other correspondence with professionalism and discretion
  • Prepare materials for meetings, including agendas, presentations, and briefing notes; attend key meetings to take minutes, track action items, and ensure timely follow-up and execution; help support communication where needed, e.g., town hall coordination
  • Plan and coordinate complex travel arrangements, including flights, accommodations, visas, and ground transportation; prepare detailed itineraries and manage changes or disruptions as needed
  • Handle sensitive information with the utmost confidentiality; support the President with research, data gathering, and execution of special projects, often involving cross-functional collaboration
  • Collaborate with other executive assistants to ensure cross-functional coordination and continuity of administrative support during absences or periods of high activity
  • Serve as the primary point of contact between the President, Discovery & Medical OpCo and key internal and external stakeholders, including executives, partners, clients, and investors
