Requirements

5+ years of experience supporting a C-level executive, ideally in a startup, operations, or high-growth environment
Proven ability to manage complex schedules, competing priorities, and highly confidential information with discretion
Strong organizational and project management skills with meticulous attention to detail
Excellent written and verbal communication skills, with the ability to engage professionally across all levels of the organization
Highly resourceful and proactive, with the ability to anticipate needs and stay several steps ahead
Tech-savvy and comfortable using tools such as G Suite, Slack, Notion, project management platforms, and expense systems
Calm under pressure, adaptable to shifting priorities, and solutions-oriented
Based in New York City, with flexibility for occasional travel to company offsites, meetings, or events

Responsibilities

Manage the COO’s complex and dynamic calendar, ensuring alignment with business priorities and operational timelines
Coordinate meetings, briefings, and cross-functional sessions, including preparing materials, agendas, and follow-up actions
Arrange domestic and international travel, including flights, accommodations, itineraries, and expense reporting
Serve as a primary liaison for internal and external communications, maintaining professionalism, confidentiality, and strong relationship management
Act as a strategic partner to the COO by driving prioritization, focus, and alignment across key initiatives
Build and optimize systems that improve operational excellence, communication, and execution
Track strategic priorities, surface blockers, and ensure follow-through across teams
Anticipate needs and provide leverage through effective time management and preparation
Synthesize insights from multiple workstreams to continuously help the COO focus on the highest-impact areas
