Responsibilities

  • Coordinate all diagnostic evaluation scheduling, including intake, evaluations, follow-ups, and re-assessments
  • Serve as primary point of contact for families on scheduling, documentation, logistics, and questions
  • Communicate professionally with caregivers, referral partners, and internal teams
  • Collect and track deposit payments and pre-service financial documentation
  • Provide status updates to families and ensure timely completion of pre- and post-evaluation steps
  • Collect, review, and organize intake packets, developmental histories, school records, medical documentation, and consent forms
  • Prepare assessment materials (scoring sheets, rating scales, digital forms, testing packets) for clinicians
  • Upload and maintain records in EMR with accuracy and timeliness
  • Maintain secure storage, inventory, and chain-of-custody tracking of assessment materials
  • Track evaluation progress from referral to report delivery, identifying and escalating barriers
  • Monitor and report on referral-to-evaluation and evaluation-to-report turnaround times
  • Track and report on family satisfaction, identifying themes or barriers
  • Support clinicians with scheduling, documentation, and follow-up tasks
  • Coordinate warm handoffs to ABA intake team for therapy services
  • Partner with Director of Workforce Planning & Client Experience to compile, analyze, and present operational data
  • Identify workflow bottlenecks and collaborate on refining scheduling, documentation, and throughput processes
  • Assist in developing, refining, and maintaining report templates, standardized tools, and EMR/CRM efficiencies
  • Track family satisfaction indicators and participate in diagnostic experience improvement initiatives
