Responsibilities

Initiating the background check case
Updating the background check system
Saving the reports in p-files
Collecting the enrollment documents for insurance
Downloading and filing the invoices and raising vega for insurance
Issuing employment certificates for employees when required
Managing work permit application process
Managing tourist visa application process (collecting local documents and employment letter)
Following up on Military Service Status and unpaid leave
Following up on Maternity Leave Status
Submitting Vega tickets for vendor invoices (payroll vendor, H&S vendor, Aon insurance payments)
Handling BinanceBuddy queries
Collecting documents for onboarding/offboarding and managing P-file
Keeping track of documents sent to the office by employees and filing them
Arranging Health and Safety visits and following H&S requirements (yearly periodic check, first-aid training arrangements, new joiners training follow up etc.)
Validating physical P-files at the office
Collating information for offboarding (including checking unused leave with local CS leaders)
Uploading payslips to individual employee folders every month
Informing payroll vendor for SSI enrollment & exit declarations based on onboarding/offboarding volumes
Assisting annual review and accommodating office visit once a year by the H&S vendor
Assisting monthly office visit by the occupational health and safety specialist
Assisting occupational health training and medical check for new joiners
Checking ratio of the first aid team review on a monthly basis
Document preparation and follow up for Capital Markets Board (licencing tasks)
Notary declarations follow up
Information security compliance commitment
