Responsibilities

  • Process and track orders received via phone, fax, EDI, or mail
  • Communicate shipment and delivery schedules to customers by liaising with internal departments
  • Handle customer inquiries via phone, fax, email, etc., regarding shipment tracing, shortages, overages, quality issues, late shipments, etc
  • Process required documentation and maintain files in accordance with SOX compliance and departmental policies
  • Accurately input orders into JDE, including prices, terms of sale, product, quantity, ship to/sold to, and customer special instructions
  • Complete necessary paperwork for sales orders
  • Maintain system accuracy on sales orders and back orders, reflecting actual ship dates and entering reason codes for changes
  • Participate with Customer Service Team to maintain call service standards
  • Ensure SOX compliance processes are followed, verifying and filing necessary documents
  • Maintain customer files, including pricing data, payment and delivery terms, vendor control maintenance sheets, sample requests, etc
  • Work with internal supply chain departments to proactively update customers on order status changes and keep product knowledge current
  • Coordinate truck deliveries at certain locations with the Traffic department
  • Coordinate returned goods from customers with Sales Representative/manager approval
  • Complete product returns or invoice adjustments timely, applying accurate reason codes in JDE and following department processes
  • Maintain daily contact with Sales Representatives regarding pricing inquiries, purchase order discrepancies, and customer order status updates
  • Participate in inventory counts as required
  • Maintain up-to-date price books, initiate price increases, and ensure implementation in the invoicing system as assigned
  • Initiate outgoing calls to current and prospective customers to maximize weekly order file
  • Report competitive activities to the Sales team and process sample requests
