Requirements

Understanding of Baxter policies regarding authorization payment approval, authorization matrix, inventory receiving tolerance, purchase order setup and creation, invoice review, accurate taxes and retention applications, and purchase order issues
Knowledge of discrepancies and troubleshooting for invoices, open items, reconciliations, and AP resolution
Familiarity with tools and systems such as GRNI accounts, Coupa (Z1 cases, reports for Missing Receipt, approval pending), Blackline (templates for reconciliations), Excel, MIT’s reports, OV’s close, and prepaid/accrual reports
Understanding of audit processes, SLA’s, S-Ox, Corporate Policies, tax changes, regulatory/statutory requirements, and SOPs
Ability to align with daily invoice quota or minimum established by supervisor
Capacity to attend meetings with customers, suppliers, and Baxter personnel at all levels

Responsibilities

Provide exceptional service to internal and external customers, resolving issues through troubleshooting of invoices, open items follow-up, reconciliations, and AP resolution
Perform month-end close activities related to prepaid and accrual reports for Local Country Finance
Follow up on document types (credits) when notified by vendors
Provide follow-up for open items in GRNI accounts over 90 days
Prepare OV’s close to send to the processing team if required
Provide follow-up and solutions for Z1 Coupa cases and run Coupa reports to tackle issues (e.g., Missing Receipt, approval pending)
Prepare MIT’s report for detecting duplicates
Align with daily invoice quota or minimum established by supervisor
Prepare AP Reconciliations and submit to Blackline before due date
Ensure AP reconciliations match between ledger and subledger, addressing variances with follow-ups in Excel and Blackline templates
Provide explanations to Supervisors/Manager/Finance on reconciliation status
Conduct monthly follow-ups on reconciliations (Monthly, Quarterly, or Annually)
Attend meetings with customers, suppliers, and Baxter personnel
Provide guidance to customers on processing tasks and AP issue resolution
Ensure compliance with SLA’s, S-Ox, and Corporate Policies
Fulfill additional tasks as directed by manager
Drive improvement initiatives for processes and establish action plans to prevent issue recurrence
Draft reports needed by client or manager
Ensure understanding of audit processes and provide timely support documentation
Ensure proper training/updates on tax changes or regulatory requirements and keep SOPs updated
Review SOPs bi-annually
Notify manager of pressing matters affecting functioning
Adhere to SSC and Local Country processes for blocking issues
Maintain sense of urgency and promptly notify supervisor of potential operational issues
